This policy explains how Riviera Christian School collects, uses, protects, and shares information through the RCA International public site, inquiry forms, and admissions portal.

We do not sell student information, use student records for behavioral advertising, or use admissions records to create marketing profiles for third parties.

Scope of this policy

This Privacy Policy applies to information collected through the RCA International public website, public inquiry and contact forms, partner inquiry forms, signed admissions links, and the admissions portal. In this policy, "Riviera Christian School," "we," "us," and "our" refer to Riviera Christian School and the RCA International admissions experience operated for the school.

This policy does not replace enrollment agreements, student handbooks, partner agreements, or other formal school records that may apply after admission or enrollment.

Information we collect

We collect information that is needed to respond to inquiries and operate admissions workflows.

  • Public inquiry and contact information: names, email addresses, phone numbers, country or state, preferred language, grade or program interest, partner organization information, and questions or notes submitted through public forms.
  • Attribution and form context: landing page, form URL, page language, referrer, UTM source, medium, campaign, term, content, and submission timestamp. This helps us understand which public pages and campaigns led to an inquiry without relying on tracking cookies.
  • Admissions portal account information: email addresses, access-code activity, authentication status, optional security methods when offered, and related login/session records.
  • Application and student information: student and parent/guardian details, planned grade level, program path, date of birth, gender, residency or location information, emergency contacts, academic background, disclosures, acknowledgments, and electronic signature records.
  • Documents and records: transcripts, standardized test scores if provided, learning-support documents such as IEP, 504, or specialized learning plans if provided, proof of student age, parent/guardian identification, residency or location documents, immunization or medical action plan records where applicable, divorce decree documents if provided, and other records requested during admissions review.
  • Scheduling and communication information: admissions call bookings, meeting details, email delivery status, replies submitted through approved workflows, staff notes, and communication history related to admissions.
  • Tuition, aid, and payment-tracking information: tuition package, selected payment option, balance-tracking status, scholarship or tuition-aid source and amount when applicable, and manual staff notes related to tuition next steps. The admissions portal does not need to store a payment card number for the current workflow.
  • Technical and security information: IP address, browser or device information, server logs, rate-limit records, ALTCHA challenge results, audit logs, malware-scan results for uploads, and other information needed to protect the site, portal, and users.

How we use information

  • Respond to inquiries, contact questions, and partner/cohort requests.
  • Schedule admissions calls and send related reminders or meeting information.
  • Review academic records, build education or graduation plans, and evaluate application materials.
  • Operate applicant, guardian, partner, and staff portal workflows.
  • Send transactional emails, access codes, document-upload links, application links, and admissions communications.
  • Track admissions progress, tuition/payment next steps, orientation, onboarding, and first-week success follow-up.
  • Protect the security, availability, and integrity of the website, portal, documents, and records.
  • Maintain operational records, audit logs, and compliance evidence where appropriate.
  • Improve public-site content and admissions operations using aggregate, privacy-conscious analytics.

How we share information

We share information only as needed for admissions, school operations, security, legal compliance, or approved service-provider support.

  • School staff and authorized representatives: admissions, administrative, academic, and operational personnel may access records when they have a legitimate need.
  • Service providers: hosting, email delivery, analytics, security, file scanning, authentication, backup, and technology-support providers may process information for us under appropriate operational controls.
  • Partner or cohort organizations: when an applicant is connected to a partner school or cohort, limited status and roster-related information may be shared with authorized partner contacts for that cohort workflow.
  • Legal, safety, or compliance needs: we may disclose information when required by law, to protect safety, to respond to lawful requests, or to protect the rights and security of Riviera Christian School, applicants, families, staff, or partner organizations.

We do not sell student information. We do not use student records for behavioral advertising. We do not share application documents with unrelated third parties for their own marketing purposes.

Children and student privacy

Admissions workflows are intended to be completed by a parent, guardian, or authorized adult when the student is a minor. Students should not submit personal information or documents without involvement from a parent or guardian.

Student education records and applicant records are handled with restricted access. Where laws or school policies give parents, guardians, or eligible students access, correction, or disclosure rights, Riviera Christian School will handle those requests through appropriate school procedures.

Cookies, analytics, and security tools

The public site is designed to avoid marketing cookies. When Matomo analytics is enabled, it is configured for cookieless public-site analytics and aggregate form-success events. Campaign attribution is captured directly from the form URL and related page context instead of relying on tracking cookies.

The admissions portal may use session cookies or similar technologies that are necessary for login, security, access-code verification, document upload, and portal functionality. ALTCHA is used on public forms to reduce automated spam and abuse.

Document uploads and security

Sensitive academic, identity, medical, or family-status documents should be uploaded only through secure portal workflows or signed upload links provided by admissions staff. Public inquiry and contact forms should not be used to submit sensitive documents.

Uploaded documents are stored outside the public website, scanned for malware when scanning is available, and reviewed only by authorized staff or service providers who need access for admissions or support operations. No online system can be guaranteed perfectly secure, but we use administrative, technical, and operational safeguards designed to protect information.

Data retention

We keep information for as long as reasonably needed for admissions, school records, operational support, legal obligations, dispute resolution, security, audit evidence, and approved retention policies. Some records may be retained longer when they become part of a student record or formal school file.

Your choices and requests

You may ask Riviera Christian School to review, correct, or update information you submitted, or to answer questions about how information is handled. Some records may need to be retained for school, legal, security, or operational reasons.

International users

RCA International is operated from the United States. If you submit information from outside the United States, your information may be processed and stored in the United States or by service providers that support United States-based school operations. Online enrollment is not a United States visa, relocation, or immigration program.

Changes to this policy

We may update this Privacy Policy as the site, admissions portal, school operations, or legal requirements change. The effective date above shows when this version applies.
